This article explains how administrators can configure Individual Type categories in AMS+ to determine whether Individual Records are treated as leads or clients.
Requirements
- You must be logged into AMS+ as an Agency User.
- You must be assigned to a Security Group with the Manage Users permission.
Categorize Individual Types
In AMS+, Individual Records represent individual leads or clients. To control how an Individual Record is treated, you must assign a Category to each Individual Type in Data Administration settings. The Category determines whether that type is treated as a lead or a client.
This setup applies to Individual Records only.
As an administrator, you define how types behave by assigning each one to a category:
- Leads
- Clients
Agent users select a Type on each Individual Record. Based on the assigned category, AMS+ determines whether that Individual Record is treated as a lead or a client.
Note: Agent users do not see category assignments when selecting an Individual Type from the dropdown. Make sure your team understands which types should be used for leads and clients.
AMS+ uses:
- The Type field on the Individual Record
- The category assigned to the selected type
Once Individual Types are categorized, AMS+ can identify which Individual Records are leads and use that data in Sales features.
Assign Type values to Categories
- Go to My Agency Settings > Data Administration.
- Select Individual Type.
- In the Field Options list, use the Category dropdown to assign each type: Leads or Clients.
- Select the Save button.
Choose categories based on how your agency defines leads and clients. AMS+ accounts start with the following Types by default. Here is an example of how an agency might categorize them:
| Type | Category |
|---|---|
| Suspect | Leads |
| Prospect | Leads |
| Client | Clients |
| X-Prospect | — |
| X-Client | — |
Note: If you have already been using the Type field, editing type categories will update your existing Individual Records automatically.
How AMS+ uses type categories
After Individual Types are categorized, AMS+ uses this information to display and filter Individual Records in other features.
- Individual Leads Page: Individual Records categorized as Leads appear in Individual Leads.
- Individuals Page: Filter to Hide Lead Record Types so only Individual Records categorized as Clients are shown in search results.
- Lead Forms: Only types in the Leads category are available when creating Lead Forms for Individual Leads.
- Individual Leads Record Report: A dedicated report for Individual Records in the Leads category, preset to filter by leads so you don't have to manually filter each time.
