Set report criteria
Before running a report, you’ll need to define basic filters—called report criteria—to tailor your results.
How to get started
- Select report criteria to filter the data.
- Select ‘Run CSV Report’. Your report will download immediately.
- Review your data.
- Update or refine your report criteria as necessary. To start over, select the 'Reset' button.
Note: Running the report with no criteria will include ALL data.
Examples of report criteria include
| Report Criteria | Usage |
|---|---|
| Dates | Filter records by a specific date range. Some date fields allow selection by month. |
| Address | Filter by state, zip code, radius, county, or area code. Based on the primary address. |
| Email & Phone | Include only records that match specific email or phone values. |
| Custom Fields | Add custom field columns to your report. To filter by these, use Custom Reporting. |
For more customization, see Custom Reporting.
Report Permissions
Your assigned Security Group permissions determine both which reports you can access and what data you can see.
|
Permission type |
What it controls |
|---|---|
| Assigned only | Restricts data visibility to only the records assigned to you. Example: If set for “Policy,” your report shows only policies assigned to you. |
| Visible | Determines which report types you see on the Standard Reports page. If you don’t have "Visible" permissions for a type, it won’t appear. For example, if your Security Group doesn’t have ‘visible’ permissions for Policy, you won’t see any Policy or Policy-related report types on the Standard Reports page. |
| SSN, MBI, DOB | Controls your ability to include Social Security Numbers, Medicare Beneficiary Identifiers, or full Dates of Birth in reports. Without permissions, DOBs are masked. |

Common questions
Do I need to fill out every field?
No. Any field left empty or not selected will not be used to filter report criteria. All data will be included unless you make a selection.
How do I run a birthday report for people turning 65 this month?
Determine the birth year and month for the individuals turning 65. Then, run the Individual report with a date range set within two dates (beginning date and end date). You won’t be able to run the report by the person’s age.
If you want to save the report and re-use it, add additional criteria, or set dynamic dates, please use Custom Reporting.
Why can’t I view certain reports?
Everyone is assigned to a security group. Security groups determine the types of data that you have permission to view.
