This article explains how to use Client Snapshot to prepare for outreach with an individual client or lead, what it draws from, and what to expect from the results.
Requirements
- You must be logged into AMS+ as an Agency User or Agent CRM User.
- To generate a snapshot on an Individual Record:
- You must be assigned to a Security Group with the Individual Visible permission.
- If you're an Agent CRM User, you need access to Individual Records assigned to your Accessible Agent, and optionally unassigned records.
- You must be assigned to a Security Group with the Individual Visible permission.
- To create an activity from a snapshot on an Individual Record:
- You must be assigned to a Security Group with the Individual Visible and Edit permissions.
- If you're an Agent CRM User, you need access to Individual Records assigned to your Accessible Agent, and optionally unassigned records.

How Client Snapshot helps you prepare for outreach
Before reaching out to a client, it helps to know who you are contacting — their coverage status, any open items, how they prefer to be reached, and relevant personal context. Pulling that together manually means reviewing multiple tabs on the Individual Record.
Client Snapshot, powered by AgencyBloc Intelligence (AI), does that work for you. From the Overview tab on an Individual Record, you can generate a brief, source-tagged summary built from the information already in the record. It is designed to give you what you need to walk into any outreach informed, whether that is a phone call, an email follow-up, a renewal conversation, or a check-in.
When you generate a snapshot, Client Snapshot reads the Individual Record and produces two sections:
- Individual at a Glance: coverage status and any immediate items worth knowing before you reach out.
- Personalization & Preferences: context drawn from notes, custom fields, activity history, and upcoming milestones (such as birthdays within the next 30 days), including how the individual prefers to be contacted and relevant life events.
Every bullet includes a source tag, for example, [Source: Policies Tab] or [Source: Notes - Pinned Note], so you can see exactly where the information came from and verify it in the record if needed.
What the snapshot draws from: the Individual Record's profile, coverage and policy data, pinned and recent notes, custom fields, and completed and open activity history.
What it does not draw from (during beta): emails, calls, texts, or voicemails. The snapshot reflects the record as it exists in AMS+ at the time of generation.
The snapshot is shared. Once generated, it is visible to any user who opens that Individual Record's Overview tab and has the required access. It reflects a point in time. If the record changes after the snapshot was generated, refresh it before your next outreach.
Generate a snapshot
When no snapshot exists for an individual, the AI Snapshot section appears as a section at the top of the Overview tab.
- On an Individual Record, go to the Overview tab.
- In the Prepare a snapshot of [Record First Name] using AgencyBloc Intelligence section, select Generate AI Snapshot.
- Client Snapshot analyzes the record. A progress indicator appears while the snapshot generates, this may take a moment, especially for records with a large amount of data.
- When complete, the snapshot displays with both sections, source-tagged bullets, and a line showing when it was generated and by whom.
Note: Results reflect the depth of the Individual Record. On records with limited notes, custom fields, or activity history, the snapshot will note where information is sparse rather than fill in gaps. This is expected, the snapshot only surfaces what is actually in the record.
Once generated, the snapshot can be hidden or shown using the Collapse button in the snapshot's section header.
Refresh a snapshot
Refreshing generates a new snapshot and replaces the existing one. There is no version history, the previous snapshot is overwritten.
Refresh when the record has changed since the last snapshot was generated, for example, after adding notes from a recent interaction, logging a completed activity, or updating coverage details.
- On an Individual Record, go to the Overview tab.
- In the Prepare a snapshot of [Record First Name] using AgencyBloc Intelligence section, select Refresh in the card header.
- The new snapshot streams in and replaces the existing content. The generation timestamp and attribution line update automatically.
What to expect from results
The snapshot is built from what is in the record at the time you generate or refresh it. A few things to keep in mind as you use it to prepare for outreach:
- Source tags are your guide. Every bullet is tied to a specific field, note, or tab in the record. If a detail looks unfamiliar, the source tag tells you exactly where to look to verify it.
- Sparse records produce sparse snapshots. If an individual has few notes, no custom fields, or minimal activity history, the snapshot will note those gaps explicitly rather than generate general content. Keeping records well-maintained improves snapshot usefulness over time.
- The snapshot does not replace the record. It is a starting point for outreach preparation, not a substitute for reviewing the record directly. Use it to orient yourself quickly, then dig into specific tabs for detail.
- Birthdays and upcoming milestones appear in the Personalization & Preferences section if the individual has a birthday within the next 30 days. The snapshot shows month and day only, not the year.
