This article explains how to use Email Forwarding to send emails from any email provider to AMS+ and convert them into Activities that can be associated with records.
Requirements
- You must be logged into AMS+ as an Agency User or Agent CRM User.
About Email Forwarding
With Email Forwarding, you can send emails from any email provider to AMS+ using your unique Activity Forwarding Address.
Each user has a unique Activity Forwarding Address. Emails sent to this address are converted into Activities and assigned based on your Email Forwarding settings.
Send an email to AMS+ using Email Forwarding
- Go the My Account > Email & Calendar > Email Forwarding.
- Copy your Activity Forwarding Address.
This address is unique to you.
- In your external email provider, paste your Activity Forwarding Address into the “To” field or the “CC” or “BCC” field.
- The email account you send from must match the email address listed under My Account Your Info.
- You may add a secondary email address on the Email Forwarding page.
- Send the email.
The email converts into an Activity in AMS+.
If emails you send are not appearing in AMS+:
- Confirm that the sending email address matches the email listed under My Account > Your Info, or
- Add the sending email as a secondary email address under My Account > Email & Calendar > Email Forwarding.
All attachments from the original email are retained in the Activity.
Tip: Create a contact in your email provider for your Activity Forwarding Address to make it easier to use.
Configure Email Forwarding settings
Go to My Account > Email & Calendar > Email Forwarding to configure your settings.
Activity association
You can choose how incoming Activities are associated with records.
Automatic association
- AMS+ reviews the primary and secondary email address(es) of the incoming Activity.
- The system attempts to match the email address to an existing Individual Record.
- If a match is found, the Activity is automatically associated.
- If no match is found, the Activity becomes "Unassociated".
You can manually associate unassociated Activities to new or existing records. See the related article on unassociated Activities and emails.
Tip: Keep email addresses on Individual Records up to date to improve automatic association accuracy.
Manual association
If manual association is selected:
- All incoming Activities become "Unassociated".
- You must manually associate each Activity with a new or existing record.
- Go the My Account > Email & Calendar > Email Forwarding.
- Locate your Activity Forwarding Address.
- Update the association preference.
- Save.
Secondary email address
You may add a secondary email address to send emails to your Activity Forwarding Address.
For example, if you have both a work and personal email account, you can authorize both to forward emails to AMS+.
To add a secondary email address:
- Go the My Account > Email & Calendar > Email Forwarding.
- Add the additional email address to the Send with another email field.
- Save.
Notification preferences
If you do not want to receive notification emails for forwarded Activities:
- Go the Go to My Account My Info..
- Update the “Send me an email when … An email sent to my Activity Forwarding Address can’t be associated” setting under Your Notifications.
- Save.
How forwarded emails become Activities
When an email is forwarded to AMS+, it becomes an Activity with a status and due date.
- The status tracks the Activity’s progress.
- The due date triggers follow-up reminders.
- If the status is set to "Complete", the Activity will not have a due date.
Review your default Activity settings before sending emails to AMS+ to ensure they align with your workflow preferences.
