Note for accounts using Sales Records: This article includes a Legacy components section with additional information that applies to your account.
This article explains how to monitor the status of Scope of Appointment (SOA) forms and resend them as needed.
For more on SOAs, including training and related resources, see this feature overview.
Requirements
- To view requested and completed SOA forms:
- You must be logged into AMS+ as an Agency User or Agent CRM User.
- You must be assigned to a Security Group with the Individual Visible permission.
- If you're an Agent CRM User, you need access to Individual Records assigned to your Accessible Agent, and optionally unassigned records.
- To re-send a requested SOA form:
- You must be logged into AMS+ as an Agency User or Agent CRM User.
- You must be assigned to a Security Group with the Individual Visible and Edit permissions.
- If you're an Agent CRM User, you need access to Individual Records assigned to your Accessible Agent, and optionally unassigned records.
How to check SOA form status
You can check the status of any sent SOA from the Individual Record's Consent tab.
- The status will automatically update once the client signs and submits the form.
- If the client has not received or signed the form by the appointment date, you can resend the SOA form via email or text message.
- If you are meeting the client in person, select the OPEN FOR SIGNATURE button to open the SOA form's PDF and have them sign it on the spot.
- After signing, the SOA form's status will update to "Completed", and you'll be able to download the signed PDF.
Legacy components
The following content applies only to accounts still using Sales Records. If you're unsure whether this applies to you, check your subscription package on the Subscription page. Accounts on Enhanced Records will show a package type that includes "+ Enhanced Records" (e.g., Accelerate + Enhanced Records). If your package does not include "+ Enhanced Records," this section applies to you.
Legacy components in this section:
- Sales Record SOA form status — accounts using Sales Records
- Unsigned SOAs on the Sales Dashboard — accounts using Sales Records
- Sales Record permissions — accounts using Sales Records
- Sales Enablement Visible permission — accounts using Sales Records
Sales Record SOA form status
You can also check the status of sent SOA forms from a Sales Record's Consent tab. The status behavior is the same as for Individual Records.
Unsigned SOAs on the Sales Dashboard
You can enable the display of unsigned SOAs directly on the Sales Dashboard:
- Go to My Agency Settings.
- Find and open Sales Dashboard Settings.
- On the Dashboard Settings page, check the box for Display Unsigned Scope of Appointments On Dashboard (Only display when there are any).
- Choose SUBMIT to save.
Once enabled, any unsigned SOAs will appear at the top of the Sales Dashboard. From there, you can:
- Email the SOA
- Text the SOA
- Open the form for in-person signature
Once an SOA is signed and marked as completed, it will automatically be removed from the Sales Dashboard.
Note: To modify Sales Dashboard settings, you must be logged into AMS+ as an Agency User assigned to a Security Group with the Manage Users permission.
Sales Record permissions
To view SOA forms on Sales Records, you must have user account Sales permissions to View Sales Records. To resend SOA forms from Sales Records, you also need Edit permissions. Learn more.
Sales Enablement Visible permission
To view and manage SOA forms for Sales Records, you must be assigned to a Security Group with the Sales Enablement Visible permission.
