How to create an Appointment Scheduler from My Agency Settings
Only Agency Users with the appropriate permissions can create schedulers from My Agency Settings. Schedulers created here can be assigned to any user in the agency.
- Go to My Agency Settings.
- Find and open the Appointment Scheduling setting, then select the ADD NEW SCHEDULE button.
- Check the Appointment Schedule Enabled checkbox (if it isn't already) and set the Appointment Length (e.g., 15, 30, or 60 minutes).
Appointment slots on the scheduler will be shown in this increment (e.g., 8:30 AM, 9:00 AM, 9:30 AM).
- Set the default Activity Type for Activities created by the scheduler.
-
Note: To prevent double-booking, select an Activity Type that is assigned to the "Appointment" category. Learn how to assign an Activity Type to the "Appointment" category. - Set the default Activity Status (e.g., "Not Started", "In Progress") for Activities created by the scheduler.
- Set the First Appointment Start Time and Last Appointment End Time.
This indicates your availability throughout the day.
- Select the Days of the Week (i.e., Sunday through Saturday) the schedule will be available.
- Enter the Number of Days to Schedule for your calendar (e.g., "14" to allow appointments up to 14 days in advance).
- Set the Days Before First Appointment buffer (e.g., "2" for CMS 48-hour compliance).
- Create the Calendar Link (e.g., "johndoe" or "openenrollmentreview").
Note: Spaces and special characters aren't allowed.
- (Optional) Add a short description in the Sales Blurb.
- (Optional) Provide meeting instructions in the Instructions field.
- (Optional) Add a URL to the Confirmation/Thank You Page field for appointment confirmation or redirection.
If you don't already have a confirmation or thank you landing page, you can create one in AMS+. Learn how to make a landing page.
- Assign the Appointment Scheduler to one or more AMS+ users.
- (Optional) Add custom fields to collect information on the appointment request form.
Fields are pulled from your Analytic Tables and can be marked as required.
- (Optional) Enable automatic SOA form or ACA Consent to Contact form creation.
This will trigger a request form immediately after a lead/client submits an appointment. Ensure your SOA or ACA settings are configured beforehand.
How to create an Appointment Scheduler from My Account
Agency Users and Agent CRM Users can also create schedulers from their own account. These schedulers are only available to the user who creates them.
- Go to My Account.
- Navigate to the Appointment Scheduling tab.
- If your agency has already assigned an Appointment Scheduler to you, tap the 'ADD NEW SCHEDULE' button. Otherwise, complete the scheduler fields directly.
- Follow the same setup steps as described above to create the scheduler.
Legacy components
The following content applies only to accounts still using Sales Records. If you're unsure whether this applies to you, check your subscription package on the Subscription page. Accounts on Enhanced Records will show a package type that includes "+ Enhanced Records" (e.g., Accelerate + Enhanced Records). If your package does not include "+ Enhanced Records," this section applies to you.
Legacy components in this section:
- Sales Enablement Visible permission — accounts using Sales Records
Sales Enablement Visible permission
To access Appointment Scheduling settings, you must be assigned to a Security Group with the Sales Enablement Visible permission. This applies to both paths:
- My Agency Settings: Required in addition to the Manage Users permission.
- My Account: Required to access the Appointment Scheduling tab.
