Associating emails
After syncing an email to AMS+, Outlook Email Sync will look for an individual record with a matching email address. If it finds a match, it will automatically associate the email. If not, you will have to manually associate the email. Learn more about unassociated emails.
You may associate emails with the following record types:
- Groups
- Individuals
- Agents
- Carriers
You can also set up Outlook Email Sync to manually associate incoming emails. This allows you to choose the association for every email that you sync to AMS+.
Relating emails
When associating an email with a group or individual, you will have an additional option to relate it to a policy or sales opportunity. If the email has specific information or attachments on a client’s policy or a lead’s product offerings, relate the email to a policy or sales opportunity to keep that information in one place.
Copying & changing email association
Associate an email with the wrong record? Does the email pertain to multiple records? Find the email and change its association to the right record or copy it to the desired record.
When changing an email’s association, it will be removed from the current record and added to the specified record. You can change the association of emails one at a time or en masse.
When copying an email, a duplicate will be created and added to the specified record. You can copy emails one at a time or en masse.
To copy or move emails, you need the Visible permission for all record types involved, and the Move or Copy Incoming Email Association Administration Permission.
Best practices
Removing an individual from a group
If you're removing an individual from a group and the individual has associated emails that are related to the group, copy or change the association of those emails to the group to keep those conversations with the group.
Deleting emails
Copying an email or changing its association to another record can’t be undone. However, you can associate an email with its original record or delete the email itself. Keep in mind, deleted emails cannot be undone.
