How to create voicemail recordings
Make the most of the Phone Dialer by setting up voicemail recordings tailored to various purposes:
- Voicemail greeting: Offer a warm welcome to assure callers they have reached the correct person, encouraging them to leave a message.
- Voicemail drop: Quickly leave pre-recorded messages in someone’s voicemail inbox, saving time on repetitive communications.
- Welcome message: Play essential disclaimers or introductory notes before the call officially begins.
- Playable recording: Play pre-recorded messages, such as Medicare disclaimers or disclaimers that the call is being recorded, at any time during the call.
- IVR (Interactive Voice Response): Guide your callers to the right person or department with routing options through pre-set messages.
To create a voicemail recording:
- Go to Settings.
- Find the Sales > Phone Dialer & Call Queues setting and select the 'Edit' button.
- Navigate to the Greetings & Recordings tab and create a recording.
-
You have 3 recording options: Call to record, upload an MP3 file, and text to speech. - Call to record: Call the number in the ‘Call to Record’ section (it will be unique to your agency) and enter your unique code to record your greeting. You can do this through the Dialer or your own phone.
- Upload MP3 file: Record your voicemail greeting in a separate system. Export the recording into an MP3 and upload it to AMS+.
- Text to speech: Type the message you want to play in the voicemail greeting. Please note that this recording option will play with a computerized voice, which may make it sound like a robocall. - Edit the recording.
- In the 'Name' field, give the recording a name that is easy to recognize.
- Review the 'Greeting Type' and 'MP3 File' fields and make sure that the setup is correct.
- Save the information.
- You can create as many voicemail recordings as you want for every situation.
Once you have a voicemail recording, you can assign it to VoIP numbers, ring groups, and IVR menus.
